Using Desktop Alerts
Using desktop alerts lets you work with the item associated with the alert, without having to open Outlook and start playing around with the Inbox. The key is the little down-arrow in the top right corner of the desktop alert.
Click the down arrow for options.
Clicking that down-arrow causes Outlook to display a menu of options you can select from. For an e-mail message, those options are:
- Open Item - Opens the item that caused the alert in its own window.
- Flag Item - Sets a flag on that item using the default settings.
- Delete Item - Deletes the item.
- Mark as Read - Outlook treats the message as if you have already read it.
- Disable New Mail Alert - Tells Outlook to stop showing desktop alerts when new mail arrives.
- Desktop Alert Settings - Allows you to change the way desktop settings work.
Customizing Desktop Alerts
You can also customize alert settings. You can do this by selecting the Desktop Alert Settings menu option in an alert, or from the main Outlook window. To get there from the main Outlook window, do this:
- Click Tools, then Options. This opens the Options dialog box.
- On the Preferences tab, click E-Mail Options. This opens the E-Mail Options dialog box.
- Click Advanced E-Mail Options. This opens the Advanced E-Mail Options dialog box.
- Click Desktop alert Settings. This opens the Desktop Alert Settings dialog box.
The Desktop Alert Settings dialog box is the place to customize your alerts.
In the Desktop Alert Settings dialog box you can adjust the following settings:
- The amount of time that alerts appear on the screen
- The transparency of the alert box
Click the Preview button at the bottom of the dialog box to see how your new settings work. Click OK when you are done and the changes will take effect.
