For great mobility, you want a hosted Outlook solution. This page provides you with basic information on how to configure Outlook to talk to an Exchange mailbox. In general however, the company that provides the hosted mailbox will provide you with a profile you can download and install, or a program you can run that will configure Outlook to connect to the Exchange mailbox.
IMPORTANT! Consider the instructions listed here as an example of how all this works, and use them only as a last resort if you can't get connected to your hosted Exchange mailbox any other way. While these instructions will work in most cases, I can't guarantee that they will always work.
Configuring Outlook to Work with a Hosted Exchange Mailbox
It's time to configure your hosted Outlook mailbox. Gather up the account information the Exchange hosting company provided and write it down. You can't add an Exchange e-mail account while Outlook is running, so copy the information, close Outlook, then follow these steps:- Click the Windows Start button, then open the Control Panel.
- Open the Mail Control Panel icon. If this icon isn't visible immediately, open the Users category first. This opens the Mail Setup dialog box.
- Click E-mail Accounts. this opens the Account Settings dialog box to the E-mail tabbed page.
- Click New to launch the Add New E-mail Account wizard.
- In the first screen of the wizard, set the Manually configure server settings or additional server types checkbox, then click Next.
You normally have to make a manual connection to your hosted Outlook mailbox.
- In the Choose E-mail Service screen, select Microsoft Exchange, then click Next.
- In the Microsoft Exchange Settings screen, enter the Microsoft Exchange Server name and User Name provided by the hosting company. Also set the Use Cached Exchange Mode checkbox if the Exchange server provides that capability.
- Click More Settings. Click the Connection tab in the dialog box that appears.
Adjust Outlook Anywhere to connect to the hosted Exchange mailbox.
- In the Outlook Anywhere section of this page, set the Connect to Microsoft Exchange using HTTP. Setting this allows Outlook to connect across the Internet.
Note: Depending on who hosts your Exchange mailbox, you may need to make changes to the Exchange Proxy Settings, but when in doubt, stick with the defaults.
- Click OK to return to the wizard.
- Click Next. You may see a message stating that mail from your Exchange Server account will be delivered to the Personal Folders file on this computer. Ignore this message since Cached Exchange Mode automatically retains a copy of your mail on the Exchange Server until you delete it. Click Yes to continue, then Finish to close the wizard.
- In the Mail Setup dialog box, click CLOSE.
- Start Outlook. It will connect to your e-mail account on the Exchange Server.
